Individual and Shared Music Lessons Terms and Conditions

West Hatch High School Music Department

Individual and Shared Music Lessons Terms and Conditions

  • We aim to teach a total of 30 lessons each academic year.
  • Lesson times are rotated every week in order to minimise the impact on subject lessons.
  • School terms are of variable length and are usually more than 10 weeks long. Our intention is to average 10 lessons per term, either face to face or online. However, in exceptional cases, this may not be possible so lessons can be carried into the next term.
  • Pupils are expected to provide their own instrument.
  • All payments are to be made via ParentPay and must be made by the published deadline.  Failure to pay on time will result in your child not be included on the timetable.
  • There may be occasions when your child is unable to attend a lesson (for example sickness, school trips, or other eventualities). As these occasions are beyond our control we cannot offer any credit or refund.
  • In the case of self-isolation, where possible our teachers will try to deliver the lesson online during the normal lesson time. This may however not be possible and we would be unable to offer a refund or credit for the missed lessons.
  • If a pupil is absent for longer than four weeks due to illness or injury, this will be treated sympathetically.
  • If a pupil is entitled to free school meals they may be eligible for our remissions programme and receive financial assistance towards the cost of lessons.
  • Force Majeure (war, civil war, armed conflict, terrorist attack, government action, fire, flood, severe weather conditions, pandemic or epidemic or any other matter that is beyond our control). We cannot be liable if a lesson has to be cancelled due to Force Majeure. In this event we will endeavour to resume lessons as soon as possible either face to face, or online. Information on the resuming of lessons will be made available as soon as possible.

Cancellation policy

  • There is no obligation to sign up for the following term.  No part refunds will be issued if you cancel your lessons part-way through the term.

Missed lessons

  • If a pupil misses a lesson due to a school INSET day, the teacher is not available or the room is unsuitable (i.e. doesn't comply with our risk assessment), then this lesson is made up later in the term. In most cases, we are able to make up any missing lessons in this way and deliver 10 lessons each term.
  • It is the responsibility of the student to check the timetable board and to remember they have a planned lesson and to attend the lesson on time.  No refund will be issued if the student fails to arrive and the teacher will not be expected to locate a student who has failed to arrive.
  • If you think your child may have missed a lesson, please contact the Music Department and they will confirm by checking the register.
  • We monitor the number of lessons delivered for every teacher each term. If we are unable to deliver 10 lessons in a term, we will either deliver an extra lesson the following term, or we will credit your account.
